Executive Assistant
Job Summary:
The Supervising associate would be required to work closely with the Business Operations Manger, customer and the team in setting up and executing the operations for the ESS/admin services that provides support on executive secretarial services and tool admin support for the global EY customers. The task includes assigning, managing and delivering daily commitments in terms of ESS/admin service activities like diary management, calendar management, meetings management, workshop, training or area visit planning, documentation, tool support and administration and data processing.
Essential Functions of the Job:
* The primary role and responsibility of this position will be to set up and deliver the event management services including, but not limited to
o Relationship building with key stakeholders
o Manage and monitor the request intake process
o Establish communication protocols and operating procedures for the team
o Clear understanding and definition of customer requirements, liaising at ease with the customers in terms of job receipts, complaints, reporting and reviews
o Ensuring that key commitments of the customers and SLAs are always on track
o Monitoring the operations and reporting the MIS of various project teams including process documentation like process maps, project plan, process document, migration dashboards, mitigation plans, training and course plan, etc.
o Responsible of planning and effective utilization of the resources including succession planning
o Maintaining healthy relationship with project teams there by controlling attrition and absenteeism
o Assist in retention strategies and employee engagement activities
o Assist in performance management of the process teams
o Adhering to the ISO 9001 and ISO 27001 standards and requirements and the educating the project teams
Establishing a connect with the other department stakeholders to work at ease for all process and team requirements
Analytical/Decision Making Responsibilities:
* Understand the business requirements clearly and plan for effective utilization of resources, managing the change requests and risk planning, etc
* Enhance service delivery through frequent interaction with the end user and (or) business sponsors
Understand the process gaps and propose preventive / corrective action where appropriate
Knowledge and Skills Requirements:
